Sheet Filters
Sheet Filters help you limit the current sheet to a specific set of items.
Use filters when you want to review items by date, amount, notes, category, merchant, currency, type, paid by, or whether they include an image or repeat.
Expenses also includes quick filters above the list for common item states:
- As of Today: current items.
- Upcoming: one-time items dated in the future.
- Next Occurrence: the next upcoming occurrence of recurring items.
- Pending: items that are still pending.
Quick filters and the detailed filters can be used together.
Open Filters
To open filters:
- Open a sheet.
- Select the filter button.
- Choose the filters you want.
- Select Done to apply them.
To clear the detailed filters, choose No Filter. To return the quick filter to the default view, choose As of Today.
Available Filters
The detailed filters sheet can include:
- Image: show only items with an attached image or receipt.
- Repeat: show only recurring items.
- Type: choose all items, expenses only, or income only.
- Amount: type an amount to match displayed transaction amounts.
- Currency: show only items in one currency.
- Notes: type text to match item notes.
- Merchant: choose one or more merchants. Merchant filters are available for expenses.
- Category: choose one or more categories.
- Paid By: choose one or more people in a shared sheet.
- Date: choose all dates or a custom date range.
Only filters that make sense for the current sheet are shown. For example, if a sheet only has one currency, you may not need a currency filter. If a sheet has no shared members, the paid by filter may not appear.
Custom Date Range
Use the Date filter when you want to review items from a specific period.
To use a custom date range:
- Open the sheet.
- Select the filter button.
- Choose Date.
- Choose Custom.
- Pick the start and end dates.
- Select Done.
- Select Done again to apply the filters.
The date range includes the full selected days. For example, choosing March 1 through March 31 includes items from the start of March 1 through the end of March 31.
Expenses uses each item’s saved time zone when checking whether it falls inside the selected date range. This helps keep travel or imported transactions in the day where they belong.
Combining Filters
You can combine multiple filters. Expenses shows items that match the selected quick filter and all detailed filters.
For example, you can show:
- Food expenses in EUR during a trip.
- Items with receipts from the last month.
- Pending expenses paid by one person.
- Items whose notes include a project name.
- Transactions matching a specific amount.
If the list becomes empty, remove one filter at a time, choose No Filter to clear the detailed filters, or choose As of Today to return to the default quick filter.
When to Use Filters
Use filters when you want a controlled view of the current sheet, such as all expenses in a date range or all items from one category.
If you want to quickly find a transaction or sheet by typing, use Global Search instead.
